Prewriting:
Determine transmission – for this assignment, I will use letter format. It appears to be the best format to use for this type of project.
Analyze sender and receiver – as the sender, I am to communicate to several clients (Mahatma Gandhi, Charlie Sheen, Elizabeth Taylor, Eleanor Roosevelt, and Margaret Thatcher) about a delay in the production of widgets. These clients have a diverse background, technical experience, and understanding.
Tone and style – the tone will be one of a factual and objectiveness. It will maintain a lack of emotion, sarcasm, and open enthusiasm, while avoiding humor, satire, anger, and bitterness. The style is impersonal, simple, and nonsexist. In addition, because of the diversity of technical experience of the clients, I will use simple, concrete words with uncomplicated sentence structure and short paragraphs.
Facts and topics – the topic of this project is the delay in production, while the facts state the reason and expectation for the delay.
Organization – the organization of the letter is to state the delay in production, why it was delayed, and what we (as a company) will do to keep the clients happy and informed of the process.
