Request for Proposal (RFP) submitted by Team A for the Boardman Management Group of Baderman Island Resort is to solicit proposals from qualified firms to upgrade the current word processing application to a standard version of Microsoft Word or to an alternative word processing application from another vendor. Boardman Management Group is using a modified approach of ERP (Enterprise Resource Planning.) This word processing software must meet abilities and capabilities to maintain the current resort functions using computer technology. "Successful software selection requires a team effort and effective leadership" (Kuly & Krasnick, 1997, p. 1.) The end-users will prove the success in this software with their accountability and ownership through using it to operate and run the resort functions.
User identification and requirements are simple and as listed in the RFP, must support resort operations with continued site connectivity and up to date capabilities. Identifying and selecting the vendor and product now relies in the preparation of analyzing submitted inputs from potential Bids. Bid responses will be read, compared and evaluated to meet company requirements as stated in the RFP. Evaluating these vendor responses must be quick, effective and cost conservative.
A team will be formed that can dedicate part of the workday in evaluating and validating bid proposals. The team involved will be cross-functional and include representatives from all the functions that will eventually work with the new system. Purchasing and supply managers can play a unique role on this team because they not only represent the function and its desires to implement a new system for purchasing processes, but also serve as the purchasing consult, just as they would with equipment, system, and service buys.
